The Office Assistant will perform various routine clerical and non-medical home care industry specific duties to support the organization.

Duties/Responsibilities
- Performs clerical duties including typing, filing, and completion of simple forms.
- Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
- Serves as the receptionist for the office, greeting visitors and applicants.
- Answers phones, directs calls to appropriate individuals, and prepares messages.
- Copies, sorts, and files records related to office activities, business transactions, and other matters.
- Prepares letters, memos, forms, and reports according to written or verbal instructions.
- Assist Agency Director in conducting new hire orientation to ensure compliance of caregivers to the Caring Senior Service Policies and Procedures.
- Contact caregivers who are active, but not working as well as inactive caregivers to update their status on a weekly basis.
- Review time sheets on a weekly basis in preparation for Agency Director’s review.
- Sorts incoming mail and delivers to appropriate individual, processes outgoing mail.
- Maintains filing systems either manually or electronically.
- Manages calendars and schedules appointments.
- Performs other related duties as assigned.
Required Skills/Abilities
- Ability to type at least 45 words per minute.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft Office Suite or related software.
Physical Demands
- May be required to spend hours in both the office and in the clients’ homes.
- May be required to do some lifting as necessary (up to 50 lbs.)
- Ability to drive a motorized vehicle.
- Ability to sit/stand for prolonged periods.
Mental Demands
- Be prepared to deal with a variety of people, client and caregiver issues daily.
Qualifications
- Must be 18 years of age.
- Must be able to speak, read, and write the English language.
- Must have transportation in good working order.
Work Hours
- 9:00 AM to 4:30 PM, Monday through Friday.
- Occasional evenings or weekends required.
- On-call duties as needed.
Education and Experience
- High school diploma or equivalent required.
- Clerical experience preferred.
- Experience in caregiving.
- Knowledge of state-specific regulatory standards for the non-medical home care industry.
- Must have demeanor and social skills to communicate well with clients.
- At least one-year experience or certified training in care for individuals with functional disabilities or completion of the CSS Caregiving Training Program within 6 months of hire date.
Starting pay $15/hour, based on experience
